REFUND & CANCELLATION POLICY

Total Athlete Project ("TAP," "we," "our," or "us") is a developmental athlete training program built around consistent participation, progressive instruction, and reserved athlete placement.

Enrollment in TAP is a commitment to the designated program term disclosed at registration. Tuition is paid for enrollment in that program term and the athlete's reserved training position, not individual class attendance.

By enrolling, families agree to the applicable program dates, tuition obligations, scheduled closures, and cancellation terms provided at registration.

1. PROGRAM COMMITMENT

Each TAP program has a designated commitment period established before enrollment.

Development Pathways are enrolled in 3-month intervals.

Academy, team, seasonal, clinic, and other TAP programs may have different commitment periods. The applicable program term will be disclosed before enrollment.

When a family enrolls an athlete, they are committing to the full designated enrollment period.

Monthly payment of tuition does not make the enrollment month-to-month unless TAP specifically identifies the program as month-to-month.

2. REGISTRATION FEES

Registration fees are separate from tuition and are non-refundable once enrollment has been accepted.

If TAP cancels an entire program before it begins, TAP may refund the applicable registration fee or provide another appropriate resolution.

3. TUITION

Tuition secures the athlete's position within the enrolled TAP program and supports the overall developmental training program provided throughout the designated term.

Tuition is not calculated on a per-class basis.

Accordingly:

  • athlete absences do not reduce tuition

  • family vacations do not reduce tuition

  • voluntarily missing a scheduled session does not create a refund or credit

  • missed classes are not prorated

  • choosing not to attend does not eliminate the family's tuition obligation

The tuition amount, payment schedule, program dates, and total enrollment commitment will be disclosed during registration.

4. PREVIOUSLY SCHEDULED CLOSURES

TAP is intentional and transparent about scheduled program closures.

Previously identified holidays, breaks, facility closures, or other non-training dates included on the published program schedule are already incorporated into the program's tuition structure.

Previously scheduled closures do not result in:

  • refunds

  • account credits

  • tuition reductions

  • prorated tuition

  • extensions of the program term

  • replacement classes

A previously published closure is not considered a TAP-canceled class for purposes of this policy.

5. CLASSES CANCELED BY TAP

Occasionally, TAP may need to cancel a scheduled class that was not previously identified as a planned closure.

If TAP cancels one scheduled class during a calendar month, no tuition refund or credit will be issued.

If TAP cancels two or more scheduled classes during the same calendar month, the affected athlete's account will receive an appropriate tuition credit.

Previously scheduled closures do not count toward this total.

6. ATHLETE ABSENCES

TAP does not provide refunds, credits, or prorated tuition for athlete absences.

This includes absences related to:

  • vacations

  • family scheduling conflicts

  • school activities

  • transportation issues

  • other sports or activities

  • voluntary missed practices

  • short-term illness when the athlete remains enrolled in the program

TAP programming is developmental and progressive. Consistent attendance is strongly encouraged because missed training may affect progression, readiness, or skill retention.

 

TAP's existing parent materials likewise establish that enrollment secures a training spot rather than individual attendance.

7. MEDICAL OR HEALTH-RELATED WITHDRAWAL

TAP understands that an athlete may become unable to continue participating due to circumstances outside the family's control.

If an athlete experiences a significant:

  • injury

  • illness

  • medical condition

  • physical restriction

  • other health-related circumstance

that prevents continued participation, the parent or guardian may request an early medical withdrawal.

When TAP approves a medical withdrawal, the family's remaining contractual obligation will be limited to one additional month's tuition.

After that amount has been paid, future tuition obligations for the remaining program term will end.

TAP may request reasonable documentation supporting the athlete's inability to continue participating.

Temporary illnesses or short absences that do not require withdrawal from the program do not automatically qualify as a medical withdrawal.

8. VOLUNTARY EARLY WITHDRAWAL

Enrollment in a TAP program is a commitment to the full designated program term disclosed and accepted at registration.

If a parent or guardian voluntarily withdraws an athlete before the end of the agreed program term for reasons other than an approved medical circumstance or another exception approved by TAP, the remaining contracted tuition for the current enrollment term becomes due in full.

Examples of voluntary early withdrawal include:

  • an athlete deciding they no longer wish to participate

  • a parent or guardian deciding to discontinue participation

  • changing to another sport, team, gym, or activity

  • family scheduling changes

  • loss of interest

  • transportation changes

  • dissatisfaction that does not involve TAP failing to provide the enrolled program

  • withdrawal for personal preference

  • withdrawal for reasons unrelated to an approved illness, injury, or medical circumstance

Voluntary withdrawal does not cancel the tuition commitment already accepted for the enrollment term.

Any unpaid balance for the remainder of the contracted tuition period becomes due upon withdrawal unless TAP agrees otherwise in writing.

9. PROGRAM TERMINATION BY TAP

TAP may terminate an athlete's participation when continued enrollment is not appropriate due to serious or repeated violations of:

  • athlete conduct expectations

  • parent or guardian conduct expectations

  • safety requirements

  • program policies

  • coach instructions

  • behavior that materially disrupts the training environment

  • behavior that places athletes, coaches, staff, or others at risk

Termination by TAP does not automatically create a right to a refund.

Any financial resolution will be determined based on the circumstances of the termination, the applicable enrollment agreement, amounts already committed on behalf of the athlete, and applicable law.

10. ACADEMY, TEAM, TOURNAMENT, UNIFORM, AND THIRD-PARTY COSTS

Some TAP programs require additional expenses beyond regular tuition.

These may include:

  • tournament or competition registration

  • team registration

  • uniforms

  • apparel

  • equipment

  • memberships

  • choreography

  • event fees

  • facility fees

  • third-party registration charges

Once TAP has ordered an item, submitted a registration, reserved a position, paid a vendor, or otherwise committed funds on behalf of an athlete, those expenses may be non-refundable.

Withdrawal from TAP does not automatically eliminate responsibility for costs already incurred or committed on the athlete's behalf.

Program-specific registration materials may contain additional payment and refund terms for these expenses.

11. REFUNDS

Except where expressly stated in this policy, required by law, or approved by TAP, payments are non-refundable.

TAP does not ordinarily provide refunds for:

  • classes already provided

  • athlete absences

  • family vacations

  • voluntary missed sessions

  • previously announced closures

  • withdrawal from a committed program term

  • loss of interest

  • schedule changes by the family

  • costs already incurred or committed on behalf of the athlete

Approved refunds, when applicable, will generally be returned through the original payment method when reasonably possible.

Payment-processing timelines may vary depending on the provider.

12. CREDITS

Account credits are not cash refunds.

When TAP issues a credit under this policy, the credit may be applied toward an eligible future TAP charge or tuition balance as determined by TAP.

Credits are not automatically transferable between families or redeemable for cash unless TAP specifically agrees otherwise or applicable law requires it.

13. CANCELLATION AND WITHDRAWAL REQUESTS

Requests to withdraw an athlete or end enrollment must be submitted in writing through a communication method designated by TAP.

The effective date of withdrawal will be based on the written request and any applicable enrollment terms.

Stopping or disputing an automatic payment does not itself cancel an enrollment agreement or eliminate an existing tuition obligation.

Families remain responsible for applicable amounts owed under the agreed program term unless TAP approves an exception or applicable law provides otherwise.

14. AUTOMATIC OR RECURRING PAYMENTS

When recurring or automatic payments are used, TAP will disclose the applicable payment terms during enrollment.

Recurring billing is a payment method for satisfying the athlete's enrollment obligation and does not change the length of the agreed program term.

Where required, TAP will provide families with an appropriate method for managing or canceling recurring billing.

Canceling a recurring payment authorization does not erase amounts already owed under an existing enrollment commitment.

15. EXCEPTIONAL CIRCUMSTANCES

TAP recognizes that unusual circumstances can occur.

TAP may review circumstances individually and may approve:

  • an alternative payment arrangement

  • an early release

  • a partial credit

  • a modified resolution

when TAP determines that doing so is appropriate.

An exception granted to one family does not establish a policy or require TAP to provide the same exception in another situation.

Any exception must be confirmed by TAP.

16. PROGRAM-SPECIFIC TERMS

Certain TAP programs may include additional or more specific financial terms.

These may include:

  • season-specific commitments

  • Academy or team requirements

  • tournament obligations

  • uniform costs

  • travel-related costs

  • third-party fees

  • payment deadlines

When program-specific enrollment terms are provided and accepted, those terms apply alongside this Refund & Cancellation Policy.

If a program-specific term directly conflicts with this general policy, the program-specific term will control for that enrollment to the extent permitted by law.

17. CHANGES TO THIS POLICY

TAP may update this Refund & Cancellation Policy for future enrollments as programs, pricing, or business practices change.

The policy and program-specific terms accepted when a family enrolls will govern that enrollment unless otherwise agreed in writing or required by law.
